Experienced Dental Receptionist

Career Vision Recruiters – Dental are recruiting for a Part Time Dental Receptionist to join a growing well established dental practice located in the Westmeath area!

Looking for a team player to join our front-of-house team.

 

Previous experience working in dental is essential.

The receptionist is the first point of contact for patients and will work with the dental team to provide an exceptional welcome for all patients and reinforce a strong customer focused approach. The ideal candidate is a detail-oriented individual who will be the first point of contact for visitors & patients at the dental clinic, greeting them in a polite and well-spoken manner. This is a part time role Wednesday & Thursdays (16 hours) Excellent salary up to €17p/hr

 

Reception Management

  • Open practice in the morning and lock doors at lunchtime
  • Review the practice for a neat, professional appearance and make necessary changes
  • Organise display and education materials in the reception area
  • Greet and welcome patients and visitors to the practice
  • Answer and respond to telephone calls with professionalism
  • Maintain an orderly system of folders and files in the reception (physical and on server)
  • Clean reception desk with wipes before finishing every day
  • Keep track of office supplies and place orders for more supplies when necessary.

 

Patient Management

  • Schedule patients for efficient use of doctor and dental nurse time
  • Print daily appointment schedule for individual dentist/nurse and hygienist
  • Check the daily schedule for accuracy and print daily for nurses and dental associates
  • Check in patients, verifying and updating patient information on Aerona software
  • Create and assist pax to fill out online Personal Information forms (making sure patient details are up to date every 12 months)
  • Confirm the next day’s appointments
  • Help explain office policies to patients
  • Fill in cancellations and no-show appointments quickly and efficiently
  • Promptly collect cancellation fees
  • Make follow-up appointments as needed
  • Scan reports and all relevant documents to patients charts.

 

Communication

  • Answer incoming phone calls and respond to voice mails in a consistent manner
  • Communicate with practitioners on internal messaging system as needed.
  • Check and manage private practice phone (Whatsapp messages)
  • Check and manage e-mails effectively
  • Sort and organize post received in the practice, including postage of laboratory work. Insurance
  • Gather and accurately record insurance information from patients, confirming PRSI in advance of confirming appointments
  • Update insurance information on all patients at all times
  • Prepare claim forms for patients with dental insurance

 

Financial Management

  • Collect payment from patients at the time of treatment
  • When required, arrange payment schedule with patients upon approval
  • Prepare daily income account, file and share with Management
  • Maintain petty cash up to date using a folder
  • Prepare and share patient statements and invoices as necessary
  • Manage ageing accounts and debtors and share periodically with

 

Management

  • Log all invoices and receipts, especially laboratory costs, materials (dental and office), telephone/internet bills and electricity bills
