Career Vision Recruiters are currently recruiting for an experienced Events Executive with excellent attention to detail and a can do attitude to assist in coordinating the 2023 awards programme for our client.

Salary – Dependent on experience

Roles & Responsibilities

  • Coordination of the Regional and National activities of the Awards
  • Directly report into the Sponsorship & Public Affairs Manager (weekly meetings)
  • Duties supported by a team of 2 interns
  • Manage the event budget, including tracking event expenditure and logging incoming revenue via ticket sales & sponsorship fees
  • Coordinate & manage service and venue providers, suppliers, tenders, quotes and contract negotiation, purchase orders and invoice payment
  • Coordinating large quantities of data surrounding the awards nominations process (100,000+ nominations)
  • Coordinate an appropriate PR & Comms plan for the 2023 awards, working alongside the Communications Executive, including press releases, photo calls, sign off on editorial content etc.
  • Coordinating of the communication and marketing strategy to members, non-members, nominees, previous winners and followers (direct email, postal mailshot, website & social media)
  • Manage the judging process, criteria, judging panel selection and independent contributing judges
  • Relationship management of sponsors and key trade contacts, overseen by the Business Development and Sponsorship Manager
  • Sourcing suitable and appropriately priced venues, negotiating contracts and working closely with the venue’s in-house events co-ordinator
  • Developing a precise running order for each event
  • Coordinating all aspects of entertainment including MCs, photographers, bands, photo booths, videographers
  • Coordinating the design and production of all print materials incl. posters, booking forms, banners, certs, photo backdrops, presentation menu & finalist programme and ensuring brand consistency & visibility of partners at all times
  • Management of the Ticket sales process using event management software to collect payments online and maintaining a clear record of attendees for the guest list
  • Responding to awards related queries and issues on a daily basis
  • Implementing new cost-saving procedures to the process
  • Out-of-office hours will be required at evening awards/events and will be advised of in advance.
  • On site duties to include room setup, registration, event management and take-down

Skills Required

  • 3 years’ experience or more in an event management role
  • Degree in Event Management preferred (Business/Marketing related field will be considered)
  • High proficiency in Microsoft Office (Excel, Word, Powerpoint)
  • Experience with CRM and/ or Event Management Ticketing Software desirable
  • High level of attention to detail
  • Friendly and approachable, with a can do attitude
  • Problem solver
  • Able to take direction
  • Organised
  • Driving licence & access to own transport is a plus
