Executive Assistant to MD

Career Vision Recruiters are currently looking to  recruit an experienced Executive Assistant to take up a key position of Executive Co-ordinator reporting to the CEO.

This hospitality based company’s head office is located in Dublin City Centre but due to the nature of this role, the position will be onsite and does not allow hybrid working at present.

The role:

The successful candidate will provide a full and comprehensive range of executive supports to the office of the CEO and support relationship management with the Board, the Executive Management (EMT) and Strategic Leadership (SLT) Teams. Other duties and tasks include strategy and business planning, project and event management, report writing and an understanding of figures.

Key responsibilities:

  • Provide a full executive support service to the Office of the CEO
  • Manage the CEO’s diary proactively to help make full and effective use of their time
  • Provide first point of contact for a variety of internal & external stakeholders
  • Manage all administrative and correspondence duties associated with the Office of the CEO.
  • Drafting and analysis of reports from a variety of sources providing summary information to the CEO
  • Arrange meetings (including venues, travel arrangements, itineraries etc.) ensuring that all parties are fully briefed in advance
  • Plan, prepare and co-ordinate papers for meetings together with all supporting materials and reference documents ensuring timely distribution
  • Plan, manage and coordinate key events including strategic launches and roadshows, quarterly wider management group meetings, all staff events and other associated activities
  • Planning, coordination & monitoring of projects for the Office of the CEO
  • Formally and informally report key risks and opportunities directly to the CEO
  • Actively update and monitor key documents on behalf of the CEO such as the Operational Plan and Corporate Risk Register

Interested applicants will meet the following requirements:

  • Relevant Third Level qualification (e.g., Degree) or equivalent is desirable
  • A minimum of 3 years’ Executive Assistant/PA experience to a CEO & Senior Management
  • Team in an environment where discretion, tact and confidentiality is required
  • High level of organisational/administrative skills
  • Excellent interpersonal and engagement skills
  • Proactive and solution focused
  • Proficient in MS packages
